Hi All,

Please be aware that as off April 2011 the present Committee (excluding Jon Slocombe – whom will remain Vice Chair- if voted in!) will be standing down.

 

I am asking Doug to place this on the website… but please can you forward this onto all your parents to see if someone will come forward for all the roles!

 

Posts to be available are:

  • Chairperson – this person has a complete overview of HPR.. is aware of everyday running of the club and coordinates / oversees other members of the Committee fulfil that role.
  • Club Secretary – this person coordinates everyday running of the Club and makes a lot of decisions to the running of the club. Some of duties are:

      Completes Registration process yearly – having to sign each member of the club for the following season.

Compulsory attendance at AGM’s organised by Cardiff & District League / South Wales FA Youth League

Occasional meetings held in conjunction with Football Development Officer / Cardiff & District League.

Be the contact for Cardiff & District League officials also FAW officials – also be the contact for ALL other clubs

Receives all the mail in regard to fixtures / matters concerning Cardiff & District League / FAW.

Deals with all written correspondence for league matters / discipline / fines and the like.

Contact before matches – when cancellations are reported from other teams etc.. Coordinate teams to changed venues etc

Oversee Teams / boys are registered correctly / correct age group etc….

Ensure ALL coaches / Managers / volunteers are properly qualified / CRB checked and validated.

Be the contact with Football Development Officer

Ensure club is registered / teams on a yearly basis

Be to source to request friendly games via FAW procedure

Arrange – oversee Insurance for club / officials

Coordinate kit / equipment on a yearly basis..  – Although I feel as Club is getting larger – a role for Kit Officer would be suggested – as difficult to keep on top of items / kit ordered etc….

Interact with other committee members in decision making.

Liaise with parents

Support Coaches / Managers in their role / understanding of their role and parents disagreements / issues that arise throughout season

Update FAW Database – teams / officials per team.

Attend audits for documentation of club

Ensure documents are frequently looked at and revised…. Ensuring in line with requirements of C&D league / FAW.

Be aware of clubs policies / code of conduct and relevant documents for the smooth running of club

Liaise with venues / winter training and the like….

            Having phone near on match days … and other!

  • Web Master - coordinates webpage / updates on a regular basis. – Doug at present does Web & Fixtures – as they both tie in with the webpage it seems the best course!
  • Fixtures Secretary - coordinates ALL fixtures to relevant teams in timely manner – also receives results and forward to relevant C&D secretary in timely manner.
  • Mini Club Secretary -  recent role – due to expansion of the club and becoming harder for one person to organise and coordinate….. smaller responsibilities of that of Club Secretary – pertaining to Mini Section – in theory Junior Secretary should be too – up to date present Club Secretary has organised that area. Registration of all children in U7's to U11's. Liaison between parents and coaches. Liaison between other clubs if matches called off. Liaison between FAW if change of venue. Attend AGM for league in absence of Chairperson. Receives fixture lists. Ensure coaches attend appropriate training sessions and have up to date CRB. Order equipment for mini teams. Support coaches with any queries. Arrange permission for friendly matches within mini section. Available on match days to answer any queries. To pass on details to webmaster of any important issues. Attend committee meetings.
  • Welfare Officer -  Ensure welfare of children within HPR – ensures all procedures are up to date – ensures ALL volunteers / coaches / managers / officials are CRB checked!
  • Treasurer – Effective management of subs / expenditures / daily finances of club / Also coordinates Gift Aid and the process that is needed to reclaim it on yearly

Well season has "finally" come to an end...and a big "hurrahhh" says me!?? Its been a difficult one what with the weather / pitch situation...... Its been a long season.....  Thanks too for all the support from the Committee during the season.
 
I have received this message from the league.....thought I would pass it on!
 
"Just a short note to thank you all, in particular the managers of teams who had a lot of matches to play over recent weeks, for your assistance in eventually completing the season.
 
Probably the latest date that the junior season has been finished".
 
A few points:
  • Presentation has had  to be moved to 12th June... Time to be announced, but probably a bit back to 6 - prompt trophy presentation at 6.30......Due to many things happening on 5th - I.e.; Wales v South Africa game / Stereophonics live in Cardiff / a wedding / athletics meet - which resulted in only myself left for the presentation. It will be the first without Gordon Hill presenting, but I am on the case to replace him... Otherwise - you've got me!?? I don't plan to have a chat before the presentation - as have done before! I hope to have a Coaches / Managers meeting just before the start of the season. AGM will be hopefully first week in September.
  • It is that time of the year......where I have to re-register the club / teams...........I am presuming that you all are intending to take your boys up to the next year......if NOT - please email / text me ASAP.
  • We are loosing a few............. Neil - u16's will not be going up to Youth with the boys - however Richard will be continuing. Steve u15's / Rob u15's have decided to stand down.... They want to actually "watch" their own boys for the last season at junior level - as week on week - they watch 11!??
  • We however will be adding a few to the team of Coaches / Managers - welcome to Sam & his mate (not sure on his name) - also to some new Coaches at u7 level. We will be fielding next season u7 / u8, Green & Black / u10 / u11/ u12/ u13/ u14/ u15 green & Black  / u16 & finally Youth. It is a lot to Manage - Anita will still be managing the Mini section - u7 - u11's and I will be doing the junior - u12 - 16 & Youth.
  • On that above note.......May I take this opportunity to express HPR's gratitude for all the years dedication / commitment not only for the Manager's we are loosing...... But to you all, giving up your time, ensuring the boys train / play week on week.... Without all you volunteers the club could not continue, often parents aren't that good in praising Managers & Coaches often quick to criticise them, I know how much time / effort / joy / tears you all put in week on week, but also know when I come around observing you all, how much the boys enjoy being on that field and playing. Went to see the u7's this week - its great to see the future of the club... They have a good nucleus of players, and keen parents / coaches  - Keen and skillful even at that age group, it won't be long that they will be representing HPR.
  • I will be registering... The individual teams too.. As soon as I get the forms -  they will be passed onto you..... I hate this part of the year - and I know how much you dislike it too..... Bear in mind - you do one team - me / Anita do loads!?? You will as usual get plenty of time before deadline, please do not leave to the last half hour!?? (Paul Mayberry springs to mind - did you make it by 10mins to spare one season!??)
  • I intend to stand down at both Chair and Club Secretary end of this season coming - wanted to given "enough notice  - so to speak!" I will have to go this time next year - so that the following season - all the club will be "signed" over to the new Chair / Secretary.... In readiness for 2011-2012. As needed by the League / South Wales League. Any of you have any aspirations to take over - or have any keen parents, that you think would / could  - it is now we have to start thinking of the future ....... I will start to collate the jobs needed throughout the season - so that there is a easy transition for the new persons / I will also be happy to advise for a period of time too.....
  • [Extra Note from Doug and Sara V....Doug intends to stand down at the end of next season as Web person/Fixture Sec. and Sara V likewise intends to relinquish the role of Treasurer]
  • Equipment / Kit - I will need a list of what you need / also if you have any sponsors in relation to kit. Any "spare" kit in anyones garage - please pass onto myself to pass down the ages please - they are good quality - and will last for a fair number of years..... Jackets - any Manager / Coach need / kids - please email me with numbers / sizes / initial - I have an order form I can email you if wanted. Please don't leave to middle of summer - this as you can imagine is a busy time for kit suppliers - so if you want the new kit to play on first match - make sure you give enough notice!
  • Thanks too to Sam for giving the Club a place for the Valencia Camp...... We will be "raffling! This place and the one we have purchased too...... On that note - HPR is getting discount on that camp...... So its great to hear that so many are enlisting on the both camps.
