Hi All,
Please be aware that as off April 2011 the present Committee (excluding Jon Slocombe – whom will remain Vice Chair- if voted in!) will be standing down.
I am asking Doug to place this on the website… but please can you forward this onto all your parents to see if someone will come forward for all the roles!
Posts to be available are:
- Chairperson – this person has a complete overview of HPR.. is aware of everyday running of the club and coordinates / oversees other members of the Committee fulfil that role.
- Club Secretary – this person coordinates everyday running of the Club and makes a lot of decisions to the running of the club. Some of duties are:
Completes Registration process yearly – having to sign each member of the club for the following season.
Compulsory attendance at AGM’s organised by Cardiff & District League / South Wales FA Youth League
Occasional meetings held in conjunction with Football Development Officer / Cardiff & District League.
Be the contact for Cardiff & District League officials also FAW officials – also be the contact for ALL other clubs
Receives all the mail in regard to fixtures / matters concerning Cardiff & District League / FAW.
Deals with all written correspondence for league matters / discipline / fines and the like.
Contact before matches – when cancellations are reported from other teams etc.. Coordinate teams to changed venues etc
Oversee Teams / boys are registered correctly / correct age group etc….
Ensure ALL coaches / Managers / volunteers are properly qualified / CRB checked and validated.
Be the contact with Football Development Officer
Ensure club is registered / teams on a yearly basis
Be to source to request friendly games via FAW procedure
Arrange – oversee Insurance for club / officials
Coordinate kit / equipment on a yearly basis.. – Although I feel as Club is getting larger – a role for Kit Officer would be suggested – as difficult to keep on top of items / kit ordered etc….
Interact with other committee members in decision making.
Liaise with parents
Support Coaches / Managers in their role / understanding of their role and parents disagreements / issues that arise throughout season
Update FAW Database – teams / officials per team.
Attend audits for documentation of club
Ensure documents are frequently looked at and revised…. Ensuring in line with requirements of C&D league / FAW.
Be aware of clubs policies / code of conduct and relevant documents for the smooth running of club
Liaise with venues / winter training and the like….
Having phone near on match days … and other!
- Web Master - coordinates webpage / updates on a regular basis. – Doug at present does Web & Fixtures – as they both tie in with the webpage it seems the best course!
- Fixtures Secretary - coordinates ALL fixtures to relevant teams in timely manner – also receives results and forward to relevant C&D secretary in timely manner.
- Mini Club Secretary - recent role – due to expansion of the club and becoming harder for one person to organise and coordinate….. smaller responsibilities of that of Club Secretary – pertaining to Mini Section – in theory Junior Secretary should be too – up to date present Club Secretary has organised that area. Registration of all children in U7's to U11's. Liaison between parents and coaches. Liaison between other clubs if matches called off. Liaison between FAW if change of venue. Attend AGM for league in absence of Chairperson. Receives fixture lists. Ensure coaches attend appropriate training sessions and have up to date CRB. Order equipment for mini teams. Support coaches with any queries. Arrange permission for friendly matches within mini section. Available on match days to answer any queries. To pass on details to webmaster of any important issues. Attend committee meetings.
- Welfare Officer - Ensure welfare of children within HPR – ensures all procedures are up to date – ensures ALL volunteers / coaches / managers / officials are CRB checked!
- Treasurer – Effective management of subs / expenditures / daily finances of club / Also coordinates Gift Aid and the process that is needed to reclaim it on yearly
