CRITERIA FOR SENDING OUT EMAILS TO THE H4 SOCIALS (CONNECTICUT GAY “HAPPY HOUR”) DISTRIBUTION LIST- Email topic must be “event-oriented”—fundraisers, benefits, socials, rallies, etc. (Exceptions can sometimes be made for “contact your government representative” action issues.)
- Events should be of interest to the people on the email list—generally either gay or “gay-related”. (Exceptions can be made for events that are in some way involved with the H4 Socials--ie. events at Real Art Ways, the Wadsworth, etc. Exception decisions are made by the H4 organizer.)
- Events should be non-profit. (On occasion, an email may be sent out announcing a new gay venue or an ongoing gay evening.)
- Political event emails will typically not be sent out, unless there is a compelling gay issue involved.
- Emails must be language-appropriate to be sent to people on the list who receive their emails at the office.
- A plain text version of the information MUST be provided in addition to any attachments, graphics, pictures, etc. (This is to ensure that people who have trouble opening the attachment or seeing the graphic/picture won’t contact the H4 organizer with “can’t open it” return emails.)
- Any attachments with pictures, etc. must be of a moderate file size (ie. no more than 200 KB maximum). PDFs are not sent out since too many people have problems opening them.
- The email must include contact information (phone number, web site, email address) where readers can get additional information or have questions answered.
- The full name of the person requesting that the email be sent out will be included in the introductory part of the email.
- Multi-subject emails will typically not be sent out, except in rare circumstances. This is to make sure that the emails that are sent out receive maximum attention.
- More than one email on the same event will usually not be sent out.
- Please allow 5 to 7 days after you make your request for the email to be sent out.
- Sorry, but citing a previous email (that has been sent out) in response to denial of a request to send something out is NOT helpful to reconsideration.
- Final decision to send out an email rests with the H4 organizer.
