Calendar

Among all of the web based calendar applications, why use Google Calendar?
 
Google's calendar application is intuitive and easy to use and share. It offers some nice features, such as
color coding,
the ability to maintain multiple calendars
to make calendars public or private and to maintain both in the same space,
pop up reminders,
and the ability to synchronize your Google calendar with your Outlook calendar.
 
Add Events
 
 
You can add an event using the Create Event link, the Quick Add link, or simply by clicking on the calendar itself.
 
To add an event directly on the calendar, click in the time slot/day where you want the event to appear (click and drag down if you need more than one hour). A popup balloon will allow you to enter basic information.
 
If you have more than one calendar, select the correct one from the drop down menu:
After typing in your event name, click Create Event.
 
If you want to add more details to your calendar event, you can do so before you create the event by clicking on the
edit event details link or after creating the event by opening it again. The description box will expand to allow you to add as much detail as you want. If you add links within the description box, they will not appear as live hyperlinks to you (as calendar owner). However, these will appear as live hyperlinks to other viewers.
 
If you need to add additional information, you may want to add the event by using the Create Event link in the uppler left had corner of the page. (This saves you a step.) The advantage to entering calndar items this way is that the detials box opens and allows you to add a location, a description, and a reminder and set the privacy level.
 
 
The Quick Add link will also open this dialog box.
 
 
Add Calendars
 
One of the best features of the Google calendar is that you can maintain multiple calendars.
 
 
Click Create at the bottom of the My calendars box.  This will allow you to name your new calendar and set its attributes. You can click on Settings at any time to change any of your calendar's settings.
 
 You can create muliple calendars and/or add other people's calendars or public calendars.
 
Organize Calendars
 
Once you create or add additional calendars, you can color code them so that you have an immediate visual representation of your various calendars. This makes it easy to organize and to see at a glance what is going on where. You can show or hide any calendar at any time, allowing you to focus only on the calendar(s)/event(s) which you need to see at a particular time.
 
 
Share Calendars
 
Calendars can be shared with the public or with selected individuals. You can share calendars in several ways. You can share easily your calendar with people who do not use Google calendar. You can embed your calendar on a website or wiki. You can set up your calendar for an RSS feed so people can subscribe to it.
 
Share Your Calendar with Everyone
 
In the calendar list on the left side of the page, click on the down-arrow button next to the appropriate calendar, then select "Share this calendar." (Or use "Settings" at the bottom of the calendar list, then click the appropriate "Share this calendar" link.)  
Select "Make this calendar public."  
NOTE: If you don't want to share the details of your events, select "Share only my free/busy information."  
 Click "Save."  
 
 
 Share Your Calendar with Selected Individuals
 

 In the calendar list on the left side of the page,

click the down-arrow button next to a calendar,

then select Share this calendar.

 

Enter the email address of the person you want

to share your calendar with.

 

From the drop-down menu, select a level of permission.

 

Click Add Person.

(Once you click Add Person, the person you selected

to share the calendar with will receive an email invitation

to view your calendar.)         

 

You can remove someone from your shared calendar by clicking on

the trash can icon to the right of that person's name.

 
 
 
 
Share with people who don't use Google Calendar
 
In the calendar list on the left, click the down-arrow next to a calendar and select Calendar settings.
 
In the Calendar Address section, click the HTML icon.
 
You will see a popup window with the URL for your calendar. Copy this URL to send to people who do not use Google.
Even better, copy and paste this URL into TinyURL (http://.tinyurl.com) to make a smaller URL.
 
Share this URL with your friends who don't use Google Calendar
 

 

Embed Your Calendar in a Wiki or Website
 
In the calendar list on the left, click the down-arrow next to the calendar you want to embed, and select Calendar settings.  
Copy the iframe code displayed in the 'Embed This Calendar' section  
Paste this code into your website to embed your calendar  
 Be sure to save.  
 You can also customize the calendar view you want to share. You might want to have the embedded calendar display a week at a time.  
 
Embed a Google Calendar in Blackboard 
     Embedding a Google calendar in your Blackboard course is simlar to embedding a calendar on a wiki site.
 
 In the calendar list on the left, click the down-arrow next to the calendar you want to embed, and select Calendar settings.  
 Copy the iframe code displayed in the 'Embed This Calendar' section  
 Go to your Blackboard course and navigate to the Control Panel.  
 Go to Course Options>>Manage Course Menu.  
 Add a menu item for your class Google Calendar  
 Open the new item in the Control Panel  
 Click the Add Item button.  
   
 In the Text box menu bar, click on the double carrot sign.  
 Paste the HTML code, which you copied in the Google calendar setting page, ito the text box.  
 In the Text box menu bar, click on the double carrot sign again.  
 When students click on the new Calendar button, they will see the Google calendar. This calendar will be "live". As you update or make changes inthe Google calendar, these will appear in the embeded calendar. Students can click on any item to see details you have added.  
 
Sync Your Google Calendar with Your Outlook Calendar
 
Google Calendar Sync is a downloadable program which allows you to sync your Outlook calendar with your Google calendar. There are three options available: 2 way sync, 1 way: Google to Outlook and 1 way: Outlook to Google.
 
The recommended practice is to select either Google calendar or Outlook calendar as your primary calendar. Make all of your entries and changes in your primary calendar. If your create and modify events in Outllook, they will be copied to yoru primary Google calendar during the next sync cycle.
 
 
 
Calendar Views
 
Google Calendar gies you the choice of viewing the clandar by day, week, month, a pre-determined number of days and in agenda format, which gives you a line-item view.
 
 

Send Invitations

Invitations let you circulate information about a particular event.

NOTE: If you sync your Google Calendar one-way with Outlook as your main calendar, the people youi invite in Outlook will show up in the Guests area.Add guests

  1. Click on the event to which you'd like to invite guests (or, create a new event).
  2. Click the edit event details link.
  3. In the Guests box on the right, enter the email addresses of the people you're inviting (if you're a Gmail user, you can click the Choose from contacts link to see your contacts list).
  4. Select the level of control you'd like your guests to have (e.g. whether they can invite more people to your event, view who else has been invited).
  5. Click Save. (Your guests will be able to respond to the event and have the option to leave comments in the event details.)
 
 

Public calendars and public events

When you make your calendar public, you share your event information with the entire world. To create your own calendar and add it to the Google Calendar search results, check the 'Make this calendar public' box.

 
 Mobile Access
 
You can access Google Calendar on your mobile device. Just enter http://www.google.com/calendar in your phone's web browser to sign in. You can view your Agenda, add events and invite others. NOTE: You will not want to add events if you are synching with Outlook as your main calendar.

You can also set up SMS reminders for your events. With this feature enabled, you will get a text message with the name, time, and location of your event.
