Dear Parent/Guardian, As you are aware the Genoa-Kingston High School Music Department is planning a trip to Sandusky, Ohio in May of 2010. The trip will consist of festival performances by all of our instrumental and choral ensembles as well as time in Cedar Point for the students to enjoy. We have recently completed our first fundraiser to help the students with the cost of this trip and the next step is to start obtaining our official numbers. Educational Tours, the company organizing and planning our trip, has broken down the cost ($423) into five installments. The first payment is due on May 14th, 2009 for the amount of $25. The complete schedule of payments is as follows: 1st PAYMENT 05/14/09 $25 2nd PAYMENT 10/1/09 $100 3rd PAYMENT 01/1/09 $100 4th PAYMENT 02/1/10 $100 Room list 03/1/10 ROOM LIST IS DUEFINAL PAYMENT 03/15/10 $ Balance-based on actual numbersThe price of the trip will fluctuate based on the numbers, and because of the uncertainty of the incoming freshman class, it is impossible to estimate the exact amount of the final payment. We are expecting, though, for the total cost of the trip to be less than the quote of $423 which was based off an estimated amount of students. As mentioned before we recently completed our first fundraiser to help students pay for the trip. A detailed account of what each student has earned is being kept at the school. We encourage the students to actively participate in future sales as it is entirely possible to have the trip completely paid for by fundraising but it is not mandatory. The tentative itinerary for the trip will be posted on the GKHS Band Website (http://sites.google.com/site/gkhsband) as well as the information contained in this letter and more to help keep you informed as we continue the process. Music trips like the one we are taking are very common for high schools across the country but very new to this community. Taking that into consideration we would like to hold an informational meeting on the evening of Tuesday, April 21st in the High School Auditorium. The goal of the meeting will be to give you as much information as possible about the trip, its wonderful benefits, and of course the safety and well-being of the students. It will also be a perfect opportunity for you to ask us any questions that are on your mind.
It is customary for the school nurse to accompany groups on trips like this and Mrs. Olsen has already agreed to join us. Attached to this letter you will find the Trip Release Form and Medication Release Form. Please fill out and return these forms to the high school no later than April 21st. We understand that you may want to wait until the meeting, and so we will be collecting them that evening as well. Along with the Release Forms please include your deposit of $25 for the first installment of the trip. Please make checks out to Genoa-Kingston High School. If you are interested in being a parent chaperone for this trip please contact us as soon as possible to let us know. We are looking for approximately ten chaperones for the trip based on our current numbers. We are very excited for the opportunity to take the Genoa-Kingston High School performing ensembles out for festival competition. This is a fun way for our students to gain performance experience, receive feedback from judges and adjudicators, feel a sense of teamwork and accomplishment, and witness the talents of other ensembles from across the country.
