Club Auction Ambassador

 

Each 4-H club is requested to provide the Auction Committee with a “Club Auction Ambassador”. This would be an individual from each club, preferably an adult, which would be the liaison from their club to the auction committee.  They would be responsible to oversee the process at the individual club level and report to the Director of Ambassadors, Val Sesler. 

 

Each Ambassador will receive an information packet. 

 

Ambassador packet includes:

-          1 Ambassador Info Letter

-          1 Sample Member Info Letter

-          5 Extra  Free Admission Letters

-          10 Extra  Donor Receipt Forms

-          10 Extra  Donor Letters

-          2 Extra Publicity Posters

 

Member packet includes:

-          1 Member Info Letter

-          2 Free Admission Letters

-          2 Donor Receipt Forms

-          2 Donor Letters

-          2 Publicity Posters

 

 

**Ambassadors:  Please collect any unused auction forms/materials so we can redistribute them to other members.

 

Timeline/Schedule

May – Information packets handed out to members at meetings

June/July – Ambassadors contact Director with list of donations as they come in

July 1 – Deadline for businesses to submit business card for publishing in Auction Catalog

July 30 – All items must be brought to the 4-H/ Youth Building by 5:00 p.m.

July 31 – Benefit Auction – 6:30 p.m., 4-H/Youth Building, Fairgrounds
