It's over!

We held the dinner and it went really well!  Many people said it was organized and we had a lot of compliments on the decorations.  It took a bit longer to seat everyone and to get food, but there was plenty of leftovers and I even got some laughs during my speech about the history of Prytanean!   Some alumni said it was one of the best dinner for ten strangers they have ever attended (and that's saying a lot, since some of them having been going to the dinner since the 1970's!)

Thanks everyone for your help, Carrie and I really appreciate it.  I hope it inspires one of our current members to run for historian!  Officer elections are in two weeks!

Lots of things need to get done, but I think everything will pull together really nicely.  Our committee heads are working really hard on finalizing the decorations, starting the seating arrangements, finalizing RSVPs, and designing the banquet table.  I also updated the website to include more information, including the text of the invitations, and a map to the senior center.

This week is going to be a big one! We have scheduled a head meeting on Tuesday, a decorations meeting on Tuesday, and a decorations meeting on Wednesday. Then next Tuesday is the dinner!

Reminders went out today to all of the girls reminding them of important things, here's the e-mail with all the information:

Hello Ladies!

Dinner for Ten Strangers is our next general meeting: Tuesday February 16th! So I wanted to send out some reminders.

GUESTS
Here is the Guest List as of now.  It is updated whenever I get another RSVP (usually once a day). 
  • If your name is in purple, that means you have a guest attending, just double check the name spelling, as it will be on the table setting!
  • If you are in white, that means that you are awaiting RSVP.  If you see the professor, please ask if they are able to come remind them to do it electronically before Feb 9th.
  • If you have no guest attending, please e-mail Danielle with any requests for seating, at dlpannebaker@ucdavis.edu.  Your options are the Prytanean table, the Prytanean alumni table, or being seated next to any of the other guests who are attending.

FOOD
Remember what you signed up for! Here are the Food Sign ups.
  • Everyone must bring a dish, regardless of ability to attend the dinner.
  • Please present your dish nicely, and bring SERVING UTINSELS.
  • Know the possible allergens in your dish, so when you arrive you can fill out a food card.
  • Please e-mail Carrie with any questions about food at pryttreasurer@gmail.com.
DAY OF
Please be ON TIME (6 o'clock is possible, 6:10 if need be) at the Senior Center.
  • Be ready to fill out a food card, and help set up the room.
  • We will have food drop off points during the day (Aimee, Stephanie, Ariel, and Ezen).  Please contact me for their addresses and times available if you need to drop off your food before the dinner.

Proposed Budget 2010

So we came up with a budget that hopefully we'll stick to.  Turns out that we got a CFC grant to cover the costs of the room and the agendas, but the rest is up to us! We're also planning on applying for the Dean Witter Fund grant after the event.

We are full swing in the planning, and a lot is going on. We are applying for grants, getting back RSVP's, setting up the Senior Center lay out, ordering tableware, planning decorations, and sending out a second round of invitations.  Whew! That's a lot.  But thanks to the committee heads it all seems to be getting done, and the event should be a great success.  We are also trying to cement the budget as well as plan for some reimbursement.

 The invitations and RSVPs turned out to be a lot more complicated than expected.  Many girls had overlapping choices, some only had one choice, and some didn't invite any at all.  We just started to make up the guest list, and hopefully all the spots get confirmed, it would be really embarrassing the day of to not have a seat for some one!  It would have been nice to have an easier way to RSVP that could have been on the form, or at least contact information.  I'm worried about having wrong e-mail addresses for guests...

Senior Center Reservation

The Senior Center has been reserved! 
Turns out we are a registered community group so we got a big discount!  The kitchen was $19/hour and the multipurpose room was $28/hour.  So the total is $141 due on 01/04/2010.  At that time we will also need to decide the seating arrangements and schedule an appointment to view the building and figure out how we would like to set everything up and decorate.

Senior Center

I am currently in the process of reserving the senior center for Tuesday, February 16th.  So far I know that the deposit will be $500, the multipurpose room will be $56/hour and the kitchen $38/hour, starting at 6 p.m.

I'm waiting on responses about wither we will be able to get in to the kitchen earlier and wither the tables will be already set up at six.
