Bisexuals, Gays, Lesbians and Allies in Medicine (BGLAM)

I. Purpose

Our mission is to ensure a safe and friendly academic environment for Lesbian, Gay, Bisexual, Transgender (LGBT), Intersex and Questioning students, staff and faculty in the medical community at AUC. We will work to advance the Gay and Lesbian Medical Association’s mission of “ensur[ing] equality in health care for lesbian, gay, bisexual and transgender individuals and health care providers.” Additionally, BGLAM shall seek to further the AUC mission statement of, “developing physicians with a lifelong commitment to patient care centered research, public health and community service,” with a special focus on the needs of marginalized sexual/gender populations.

We are a group of LGBT medical students and heterosexual Allies who have a firm commitment to embracing diversity on this campus, by providing resources, support, and a friendly community for lesbian, gay, bisexual, transgender, intersex, questioning and ally medical students. We will work to foster understanding and tolerance of all sexualities, cultures, and ethnicities among our entire student body; and to support and improve LGBT-related training of our fellow students in order to improve the healthcare of our LGBT, intersex, and questioning patients. Furthermore, we will welcome AUC’s LGBT applicants, by answering any questions they might have about LGBT life at AUC.

II. Membership

2.1 Membership in the Bisexuals, Lesbians, Gays, and Allies in Medicine (BGLAM) is open to all students, staff and faculty of AUC.

2.2
There is no limit on the number of members in the Bisexuals, Lesbians, Gays, and Allies in Medicine (BGLAM). 

2.3 Bisexuals, Lesbians, Gays, and Allies in Medicine (BGLAM) appreciates the diversity of human beings and does not discriminate based on race, age, religion, ability, marital status, sexual orientation, sex or gender identity.

III. Officer Roles & Responsibilities

3.1 BGLAM Executive Officers: President, Vice President, Secretary, and Treasurer.

3.2 The BGLAM Executive Council shall be comprised of the President, Vice President, Secretary, and Treasurer.

3.3 Executive Officers are strongly encouraged to have a current membership with the Gay and Lesbian Medical Association (GLMA).

3.4 One term for each elected office will run for two consecutive semesters.

3.5 Executive Officers are permitted to be elected to a second term of office, and there are no term limits.

3.6 A member can only hold one office at any time.

3.7 An Executive Officer must meet eligibility requirements for a position. The officer should be at least a 2nd semester with a minimum 75% GPA.

3.8 The responsibilities of the President are as follows:

§         Oversee the daily activities of BGLAM

§         Ensure that all elected officials and general members are fulfilling their duties to BGLAM

§         Facilitate the general assembly meetings.

§         Facilitate the Executive Council meetings.

§         Access member eligibility for Executive Officer positions (≥2nd semester, minimum 75% GPA) via the faculty advisor.

3.9 The responsibilities of the Vice President are as follows:

§         Assist the President with the daily operation of the chapter.

§         Assume the office of President should the sitting President resign or otherwise be unable to fulfill obligation.

§         Provide a supportive role in the formation of each semester budget.

§         Maintain records including the budget, photographs, and historical documents.

3.10         The responsibilities of the Secretary are as follows:

§         Provide a finalized meeting agenda to all members 48 hours prior to a meeting.

§         Record minutes for all meetings and e-mail meeting minutes to the members within 2 calendar days of the meeting.

§         Maintain the master e-mail list for all active members of BGLAM.

§         Record attendance at all meetings.

3.11         The responsibilities of the Treasurer are as follows:

§         Function as the primary architect of each semester’s budget.

§         Provide accurate budgetary and/or balance information upon request by any 

active member.

§         Keep an accurate record of the dues and fees paid by all members.

3.12         The responsibilities of the Director of Community Service are as follows:

§         Coordinate community service activities for BGLAM

3.13         The responsibilities of the Activity Service Chair(s) are as follows:

§         Coordinate social activities for BGLAM

3.14         The responsibilities of the Historian are as follows:

§         Coordinate media activities for BGLAM

3.15         General elections for any subcommittees, which are deemed necessary by the Executive Council, can be called for at any meeting.

3.16         The Executive Council is responsible for determining subcommittee timelines, with regards to activity completion and need for existence.

3.17         A simple majority vote is necessary for an active member to be selected to serve on a subcommittee.

3.18         Executive officers may be elected to subcommittees.

3.19         Any and all appointees must be present at each committee meeting unless they submit their vote before hand or by written proxy.

3.20         The Vice President must organize, reserve rooms and inform committee members of the time/date/place of the committee meeting two days prior.  

IV. Meetings & Voting

4.1 Meetings will be scheduled by the President and should be held at least once per month.

4.2 Any change or addition in the meeting/event schedule must be provided to the Secretary 72 hours before the meeting/event is to take place.

4.3 All meetings must be announced to the entire organization at least one week in advance. 

4.4 All active members currently enrolled are eligible to vote during general assembly meetings.

4.5 Each active member has one vote.

4.6 Every vote is counted and weighted equally.

4.7 Voting will take place after the topic has been addressed by the floor and all interested members.

4.8 All matters and issues voted upon during general meetings will be held to a simple majority vote.

4.9 Anyone not in attendance for a meeting will lose his or her voting rights for said meeting.

4.10   Abstaining from a vote is valid and will be noted in the minutes as an anonymous abstention

 V. Elections

5.1 Elections, for open offices, will be held during the last meeting of the semester.

5.2 One week prior to elections, each student interested in running for a position is required to confirm in writing their intent of running with the President.

5.3 A simple majority vote is required for a candidate to obtain an elected position.

VI. Finances 

6.1 BGLAM finances (revenues and expenditures), for the current semester, will be presented at the second to last general assembly meeting.

6.2 The proposed budget, for the upcoming semester, will be presented to all members at the second to last general meeting of the semester.

6.3 The proposed budget will be presented for a vote of passage at the last meeting of the semester.

6.4 Any changes to the budget may be passed at any meeting with a majority vote.

6.5 A copy of the budget will be made available to any member upon request.

6.6 The Executive Council is responsible for abiding by the budget.

VII. Amending the Bylaws

7.1 Any individual member may write a proposal to change the BGLAM bylaws.

7.2 All members are to be notified of a proposed change in bylaws, via each member’s official AUC email address, at least one week before a vote for ratification takes place.

7.3 A proposed change to the bylaws must be voted on during a general assembly meeting and must be approved by a supermajority (2/3) vote.

7.4 Proposed and ratified changes will go into effect the next semester.

 VIII. Faculty Advisor

8.1 The faculty advisor is strongly encouraged to be a current GLMA member.

8.2 A faculty member will serve in an advisory capacity for BGLAM.

8.3 A faculty advisor is a voluntary position and is open to any faculty member.

8.4 A semester minimum commitment is required but no maximum.

8.5 Should the faculty advisor choose to step down a 2 week notice is required.
