1. Come join the Second Life Virtual Welcome Reception! On July 6, 2009 at 1100 PDT (1900 GMT), we will be meeting up in the virtual world of Second Life. Come meet your peers prior to the conference at AbGradCon's Second Life home! Details can be found at:

2. Take a look at the AbGradCon Biography sheet (like AbGradCon Facebook, except not): We've compiled photos and short bios of all conference participants, which you can find at http://tinyurl.com/abgradcon09/files.

3. Reminder to talk and poster presenters: The deadline for talk submission is July 16. Please upload your talk in PowerPoint format at: http://nai.nasa.gov/abgradcon_uploader.cfm. Remember that talks are 12 minutes with 6 minutes for questions/discussion. The deadline for poster submission is July 10. Please email in JPG format to Dr. Frank Ireton (fireton@mac.com). We are asking you all to submit talks and posters early for the purpose of displaying all talks and posters in Second Life. To that end, remember that posters and talks will all go on Second Life, which is public, so if you have sensitive data that you wish to present but not make available to public display, or if you have general concerns about privacy, please let us know and we won't broadcast your talk or upload your poster in SL.

6. Field trip details:
      A. You will be responsible for dinner during our drive back from the field trip. ATMs are located in the Husky Union Building, which is very close to the dorms and the conference venue.
      B. Here are some handy things to pack for our hike on Sunday:
            -Sturdy hiking shoes
            -Hiking socks
            -Sun screen
            -Hat or bandana
            -Sunglasses
            -Lip balm/Chapstick
            -Rain shell (wind and water-proof)
            -Water bottle
            -Personal snack food
            -Camera
            -Small backpack to carry your belongings
            -Layer your clothing 


7. Arrival in Seattle: transportation and dorm details

        B. Here is some very important information for those of you staying in the dorms:

Checking in?
Guests will check in at McMahon Hall Front Desk, after 2p.m. on the arrival day. You can find the location of McMahon Hall in AbGradCon 09 web page, under "Travel Information".
For most of you the arrival day will be on Thursday, July 16th.  If you requested early arrival, your arrival day will be on Wednesday, July 15th.
You must check out by Monday, July 20th, 11a.m.  If you requested late departure, you can check out by Tuesday, July 21st, 11a.m.

You will receive a room key, which also gives access into the building. You must return the room key upon your departure. 
A room key not returned to the Conference Desk at checkout will result in an immediate lock change at the cost of $85.00 per set. 

Do I need to pay something?
The answer is "no", unless you reserved a single room, or you are paying your way to the conference.
If you reserved a single room, you will pay the difference upon your arrival.
If you are paying your way to the conference, you must pay a food + housing package upon your arrival, and the remaining food cost to the conference organizers. We will write you individual emails during this week, with the expected cost of your stay and specific instructions.

What do I need to know about my room?

You will receive at the front desk the number of your assigned room. Most rooms are for double occupancy. Rooms are clustered in groups of 4 or 5, sharing a common space, a small patio, and a bathroom. Clusters are gender specific.
UW residence halls and campus facilities are smoke-free, except for designated areas.
Guests 21 years of age and older may only consume alcohol in their own rooms or clusters and with the door closed.

Head towards the courtyard of Johnson Hall (JHN) to enjoy a BBQ in a summer afternoon (you can find directions in the webpage).

Dear AbGradCon participants,

Here is the latest installment of your monthly AbGradCon email updates.
This email will address the following topics:

1) Mt. St. Helens field trip
2) Poster and talk details
3) Second Life
4) Public event

1) Mt. St. Helens field trip: Due to the overwhelming desire expressed by
most conference participants to attend the Mt. St. Helens field trip, we
have made special arrangements regarding the field trip portion of the
conference, and now ALL participants will be going to Mt. St. Helens. Due
to permit restrictions, participants will be divided into groups. Twenty
participants will enter the devastated area itself, and other groups will
travel to different destinations on the mountain. More details soon!

2) Poster and talk details: We would like to remind all participants that
posters will be due on July 10th. Please email them as a JPEG file with
the subject "ABGRADCON poster" to Frank Ireton at fireton@mac.com. The
rationale behind this is that we need to load them to the virtual
conference site and this takes a little time. Remember to please use
standard nomenclature when naming the file: AGC09(lastname).JPEG.

IMPORTANT: For both talk and poster presenters, please remember that
there will be no "introductory" talks this year, so please keep jargon to
a minimum and keep your multidisciplinary audience in mind, and be sure
to emphasize the astrobiological significance of your work.

3) Second Life: There will be a "meet 'n greet" on Second Life at the
AbGradCon Second Life event location in early July. Graphic specialists
have done a great job creating a virtual conference site for us: check
out the screen-shot at http://tinyurl.com/abgradconSL. More details soon!

4) Public event: For our public event during AbGradCon, we will have a
debate between professors Jim Kasting and Peter Ward in "The Battle of
the Goddesses: Medea vs. Gaia (A debate on the role of life on the
habitability of Planet Earth)" on Saturday evening, July 18!

This is just a reminder that all travel receipts for those traveling
within the US are due tomorrow (May 15th). Please forward your flight
information with the subject header "TRAVEL RECEIPT" to this email
address, and we will reimburse you at the conference. Please also be sure
to send your t-shirt size to Sanjoy (sanjoy@u.washington.edu) by
tomorrow.

1) Travel arrangements
With the conference being two and half months away, we would like to
remind you to please submit your travel receipt by May 15 to
abgradcon09@gmail.com, with the subject heading: TRAVEL RECEIPT. You will
be reimbursed by check during the AbGradCon.

For international travelers, Please contact Mr. Young Kim
youngk@u.washington.edu by May 15, with the subject “ABGRADCON
international travel." Mr. Kim will arrange your flight.


2) T-shirts
Yes! We will have AbGradCon themed T-shirts. Please send your t-shirt
size by May 15 to Sanjoy: sanjoy@u.washington.edu.


3) Important poster and talk guidelines and deadlines
Poster Presenters:
This year, because of our efforts to stream the conference virtually in
worlds beyond the location of the conference itself, please have your
poster ready by
July 10 and email them as a JPEG file with the subject "ABGRADCON poster"
to Frank Ireton at fireton@mac.com. Dr. Ireton has kindly accepted to be
our Second Life liaison.

Also, to facilitate keeping track of your documents, please use standard
nomenclature when naming the file: AGC09(lastname).JPEG. As in all
posters, keep the text to a minimum and make text large enough to be
readable without squinting.

During the actual poster session, the poster boards will be 32 inches x
40 inches (81 cm x 102 cm), so please keep your posters within those
limits.

All poster presenters will be giving a 2 minute talk (2 minutes sharp!),
so please prepare a slide or two to present as well.

Talk presenters:
Don't forget that you will be attending an interdisciplinary astrobiology
conference. Such talks are very different than talks that you give among
your peers at specialized conferences.
As such, please keep jargon to a minimum. Remember to tie your talks to
astrobiology; this may seem an obvious statement, but we have all seen
supposed astrobiology talks that fail to do so. This year’s AbGradCon
will NOT have "Astronomy 101" or "Geology 101" presentations, so please
assume that your audience is intelligent but has little to no background
in your topic.

4) Second Life
Explore a test site for what the poster session might look like!

Dear ABGradCon participants,

Several of you have contacted us regarding the amount of the flight cost
we will be able to cover. We are happy to announce that we will cover
100% of your flight, but please help us out by finding the best deal you
can for your flights to Seattle, as our budget will be tight.

Although we previously indicated April 30th as the deadline to fill out
the registration form, due to the time constraints placed upon the
Iceland Astrobiology Summer School, please complete the registration form
by this Friday, April 24. It should take you at most 5 minutes. We
apologize for this inconvenience. The registration form can be found at:
http://tinyurl.com/abgradcon09/registration.

Please plan to arrive at Seattle/Tacoma International Airport (Airport
code SEA) on July 16th, 2009. Your earliest date of departure will be
late afternoon/evening of July 20 if you are not attending the Research
Focus Group, and it will be evening on July 22 if you are attending the
RFG.

Below you will find information regarding the procedure for flight
reimbursement, depending on if you are traveling from the US, outside the
US, or from the Iceland Astrobiology Summer School.

For participants traveling from the US:

In order for us to start the paperwork to get you reimbursed as soon as
possible, please submit your travel receipt by May 15 to
abgradcon09@gmail.com, with the subject heading: TRAVEL RECEIPT. You will
be reimbursed by check during the AbGradCon.

 

For participants traveling to Seattle from OUTSIDE THE US:

Please contact Mr. Young Kim youngk@u.washington.edu by MAY 15, with the
subject “ABGRADCON international travel." Mr. Kim will arrange your
flight.

Please make sure you send him your name AS IT APPEARS IN YOUR PASSPORT,
your citizenship, your airport of departure, and your dates of travel.
You are responsible for any visas you may need to obtain, although we can
provide you with an official invitation to facilitate the visa approval
process, if need be.

 

For participants attending the Iceland Astrobiology Summer school:

It is particularly important that you fill out the registration form
ASAP, as we need to coordinate with the University of Hawaii for your
flight. More information will be forthcoming as we make arrangements, and
after we receive all the registration information.

We just wanted to remind you all that the deadline for abstract
submission to AbGradCon 2009 will be March 15, 2009. Don't forget to
submit your abstracts!

Two more announcements:
- All abstracts that will be presented at AbGradCon this year will
be published in the journal "Astrobiology."
- The location of the conference will now be in Thomson and Smith
Halls on the University of Washington campus, located in the heart of
campus near the student union and many open green spaces.

Hi UW AB grad students and postdocs,

There have been a few questions we'd like to clear up regarding how UW
students will fit into the ABGradCon picture, particularly because it's
being held here this summer. For logistical purposes, anyone who wishes
to present at the conference and attend the field trips (and get a free
lunch) must go through the online application, even if you are a UW
student or postdoc. If you do not wish to present, but would still like
to attend, that is fine, but please let us know first so that we can be
sure to prevent overcrowding the room. You are also free to tag along
with the field trips even if you are not an official participant, as long
as you provide your own food and transportation.

As a reminder, the application deadline is March 1, and any information
you need about the conference can be found at www.tinyurl.com/abgradcon09.

Hello again, astrobiologists!

This is another email update regarding AbGradCon in Seattle, Washington,
scheduled to take place July 17-20, 2009. Don't forget that you can get
all of this information and more at http://tinyurl.com/abgradcon09.

The first, and most important, announcement is that the application for
AbGradCon opens on January 5, 2009. You can apply through the AbGradCon
2009 website (see above), where you will have the opportunity to submit a
300 word abstract. The application will be open until March 15, 2009.

The organizing committee has decided that in order to preserve the
quality of the conference, as well as to maintain an atmosphere fostering
easy communication, we will be limiting attendance to 45 individuals.
These individuals will be invited based on the scientific merit of their
submitted abstracts. The AbGradCon abstract selection committee will have
the difficult task of selecting the 45 best abstracts out of those
submitted. Those who have been selected will be notified in early April,
and will then be invited to complete a conference registration form. All
invited participants will have their food and lodging paid for, and we
anticipate being able to pay for most of the airfare as well.

Finally, even if you are not selected to attend the event itself in
Seattle, keep in mind that the conference will also be held live in the
virtual world of Second Life, and you can participate there too! More

Hello, fellow astrobiologists!

Welcome to the AbGradCon '09 email list, and thanks for your interest.
This is the first of several emails that we will be sending on a more or
less monthly basis to keep you up-to-date on the news regarding next
year's Astrobiology Graduate Student Conference in Seattle. Please also
see our website at www.tinyurl.com/abgradcon09, which will be updated
frequently as planning for this conference continues.

First, the schedule has been updated! AbGradCon is now scheduled to take
place between July 17-20, 2009 at the University of Washington in
Seattle, Washington. You can see our planned schedule of events at
http://sites.google.com/a/u.washington.edu/abgradcon09/Home/program.

Registration will begin in January. Keep an eye on the website for the
registration form. We will email the AbGradCon '09 list when registration
is open on the website.

As part of our effort to keep costs down, we will be lodging all
conference participants in the dorms at the University of Washington.
These accommodations are close to many recreational facilities on the UW
campus and in the Lake Washington/Lake Union area, and are conveniently
located close to the conference proceedings on campus.

We are still working planning our field trips. One group of students will
go to Mount St. Helens to learn about life in volcanic environments, and
the other is planned to take place on board the R/V Thomas Thompson in
Puget Sound to learn about the intersection between oceanography and
astrobiology. However, in the event that the Thompson is unavailable
during the conference, participants will have the opportunity to visit
Carbon Glacier on Mt. Rainier to learn about life in icy environments.
