Important Reminders and Action Items
ACTION ITEM #1: Google Apps for Education Sign up deadline: Aug 5, 2008.
If you have not yet completed the sign up process or indicated your preferred domain name, your school will be signed up for Google apps <<soin12.yourschoolname.org>> if we do not hear from you before Tuesday August 5.
ACTION ITEM #2: Academic Events Verification
If you have not sent your schools Holiday-School Closed dates, then you must verify such dates for the 08-09 academic year.
Note: Holidays/School Closed affect the academics module functions. Holidays/School Closed do not show up in the attendance dropdown list of dates for example.
Here’s how to check your calendar dates:
Login as a SOIN Admin
Click on Events/Meetings
To change an existing event, click on the Modify link next to that event
To delete an existing event or multiple events, click on the check box next to the events to select them, and then click Delete Event at the top or bottom of the page.
To add an event, click on Schedule Event

· ISSUE: How can I print out a class list of students?
- For teachers: Go to student roster, select the class from the dropdown and the class roster will display. Click on the print button to print.
- For Office Staff and Administrators: Go to Class Setup > Class Lists, search for the desired class(es) and click on the Print Class List or Print Class List with Bus Number and Hebrew Name button.

Google Apps for Education Reports Deployed on
School-On-I-Net School Management System
Schools-On-I-Net has now deployed statistical reports with the information about Google Apps for Education usage. The reports can be found under a new link in "Reports" module on the SOIN left-side menu (currently active for schools which have completed the Google Apps for Education process).
This link - "Google Apps" - allows administrators to generate, view, print (PDF), download (MS Excel) the following reports for the selected date:
Accounts Report – contains a list of all of the hosted google accounts that exist in your school’s domain on a particular day
Activity Report – identifies the total number of google accounts in your school’s domain as well as the number of active and idle google accounts over several different time periods
Disk Space Report – shows the amount of disk space occupied by users' mailboxes
Email Clients Report - explains how users in your school’s domain access their hosted google accounts on a day-by-day basis
Quota Limit Accounts Report - report contains a list of the google accounts that are approaching or have exceeded their disk space quota
Summary Report - contains the total number of google accounts, total mailbox usage in bytes and total mailbox quota in megabytes for your school’s domain
Suspended Accounts Report - lists all of the suspended google accounts in your school’s domain on a particular day

FREQUENTLY ASKED QUESTION OF THE WEEK:
● ISSUE: How do I change a user’s name? Under the User Maintenance link, click on the ‘Change Name\Designation’ link. Enter the name in the search field, and click on “Go”. Then check the select box of the desired user, make the necessary changes and click on update. NOTE: This process will change the user ID, which is based on the initial of the first name followed by the last name. Remember to notify the user

Browse the pages and documents. Perform a Keyword search, for example, type in ‘Grade books’ or ‘restore an inactive family’ and a list of results will be shown. FREQUENTLY ASKED QUESTIONS OF THE WEEK:
● ISSUE: How do I change or correct the Family Display name? Go to the Family Association page, under the User Maintenance dropdown menu. Select the family, then click on the “Associations within a Family” button. In the ‘Family Name’ field, modify the family name and then click on the save button.
● ISSUE: When I am trying to enter a new family, I get the message that the family already exists. Why and how do I correct this? Please search for the family on the User Maintenance > User Setup > Family View. Be sure to select the ‘ALL (active and inactive)’, and then click on ‘Go’. If the family is inactive, select the family and click on Restore. If the family does not show up, please contact the SOIN help desk.
● ISSUE: Why is SOIN not allowing me to save a new, single parent family? To enter a new, single parent family, enter it as married, but enter the parent as the father, even if it is the mother - still save it as father, but change the salutation to ‘Miss’, 'Mrs.' or 'Ms'. Then click save.
What does it mean that ‘SOIN integrates with Google Apps for Education’?
Why can’t I see student X on the Report Card View page?
Troubleshoot:
1. The student or family is inactive in User Maintenance
2. The student has not been assigned to the correct Report Card Homeroom Class
(Report Cards> RC Admin Setup; select Class and Homeroom class – select the HR class and assign\remove students)
Did you know that Schools-On-I-Net has the capability to send Broadcast Messages directly to users’ cell phone? There are two steps to this process; step 1 enables the user accounts, while step 2 enables the message to be sent to cell phones.
A. Make sure users have their cell phone & carrier entered.
Users must have their cell phone number entered in user profile, and the carrier (AT&T, Verizon, etc) listed correctly. To enter or update a cell phone number
a. For staff members, go to User Maintenance>User Setup>Select the user>Update User;
b. For parents, go to User Maintenance>User Setup> Family View>Update Family.
B. How to send a Broadcast Message:
1. Login as a SOIN Admin
2. Click Broadcast Message
3. Click New
4. Creating a broadcast message be sure to check the ‘yes’ box next to ‘Would you like to send a cell phone notification?’
5. Review the text of the Broadcast message and click SAVE.
