In answer to your questions: 1) In section 9 (Scope and Guidelines), what does the client mean by (or how does client define) "Asset Management"? Ability to create and maintain a set of files for the site, such as images, PDF, Word, audio and video files etc. for reuse throughout the site without manual editing of the template files or CSS; ability to add images or file links within an individual page without HTML code or d separate uploading of the file. http://drupal.org/project/asset. 2) In same section under Preferred (Phase II) what does the client mean by, or how does the client define "Project Tracking"? A simple project management system (simpler than MS Project) to track collaborative community projects, motions, resolutions, development projects etc. including task management, calendaring, resource (people) management, email. In Drupal, simple solutions like http://www.ravisagar.in/blog/project-management-drupal or by integrating http://projectpier.org/ (through a shared database?) may be ideal. Please email your complete proposal according to the posted specifications to bnmvcc@gmail.com by 10 AM, 10/23/2008 deadline. We encourage electronic submissions. If you'd prefer to ALSO send a hard copy of your proposal by 10/23, please let me know and I'll provide you with an address. If you are selected as a finalist, we plan to conduct a brief telephone/video conference test with you on Tuesday 10/27. We look forward to receiving your proposals. |

Dear Prospective Bidder,
Thanks again for your interest in submitting a proposal to design and develop the Mar Vista Community Council Web site. As stated in the specifications posted at http://tinyurl.com/mvccwebdev, the deadline is October 23, 2008, 10 AM. Please note the new time.
To help expedite the process, we have scheduled the following two dates for a 45-minute presentation and interview by each bidder (location TBD):
- Wednesday October 29, 2008 : 6:30-9:30 PM PST (approx. 45 minutes/presentation: 30 minutes presentation + 15 minutes Q&A)
- Thursday October 30, 2008 6:30-9 pm PST (approx. 45 minutes/presentation: 30 minutes presentation + 15 minutes Q&A)
Please save both of the above dates. If you're selected as a finalist by the committee, you will be informed by Tuesday Oct. 28 and invited to one of the above dates for a presentation and interview between (6:30-9 PM).
We plan to complete up to three presentations per meeting. Each finalist will be scheduled for 45-minute presentation/interview at a specific time between 6:30 and 9 PM. We'll try to extend the presentation 5-10 minutes if necessary. Additional meetings/discussions with vendors may be required before the winning proposal is selected by the committee and the board.
We plan to select the winning proposal for board approval on Thursday Oct. 30, 2008 after the final interview. The board plans to vote for the winning proposal on Nov. 11 and we've scheduled accordingly. Dates are subject to change.
Please confirm your availability for 10/29 and 10/30 ASAP (no later than Oct.15).
We'll do our best to accommodate you if you can't meet on either date. But please note that due to the challenges of coordinating the competing schedules of council members and the bidders (both in California and nationwide), an alternative time to the above may prove infeasible.
Further details (times, location, web/video/teleconferencing information, if applicable) will be provided in the next 7-10 days. We will try to test any web video conferencing with you sometime before your confirmed date and time. We will also have speakerphone/teleconference in case web video conferencing fails.
Please note that the diverse council members and stakeholders who may attend your presentation/interview have various levels of comfort with and knowledge about technology and web site design, ranging from novice to expert.
Here's a new projected summary of the steps (dates are subject to change):
- Proposal Deadline is 10 AM, Thursday, October 23, 2008. No bids will be accepted after this time.
- Committee receives all complete proposals electronically for review (no later than Fri. 10/24)
- Committee meets to select finalists/proposals whose proposals merit a presentation/interview (Mon. 10/27, 6 PM)
- Committee meets with finalists in person or via web conference for presention/interviews (Wed. 10/29 and Thurs. 10/30, 6:30-9:30 PM)
- Committee selects winning proposal. (Thurs. 10/30 after conclusion of interviews by 9 PM)
- Committee votes on the winning proposal (Nov. 11)
- If proposal is approved, committee and vendor create an agreement.
- Board votes on the agreement (in November/December)
- Once the agreement is reached, the developer will work with the committee to manage the project between milestones.
- Everyone may follow/comment on the project's progress on the web site: http://tinyurl.com/mvccwebdev.
- The board will vote on each milestone as it's completed.
- Web site delivered according to timeline in agreement.
