| An email list is a great way to stay in touch with the quorum. In the Heritage Oaks ward, we have set up an email list using Google Groups. We use our list to send out weekly announcements to the quorum. This way, Elders who work in the YMs, primary, nursery, etc still feel plugged in an know what going on. The following is an example of an email we send to our quorum weekly: Google Groups is a free service that you can use to set up your email list. It allows you to easily add and remove people from the list. It also has moderator options. Keeping the list up to date Perhaps the biggest challenge is keeping your email list current as new people move in (you don't really have to worry about people moving out, since they will let you know when they want they're name removed). In our ward, we have the EQ secretary maintain this list. We try to remember to catch new people as they move in and add them to the list immediately. We also ask people during PPI interviews if they're on the ward email list. Finally, we have our Secretary do a diff periodically (roughly 2x/year) using the EQ attendance list to see if there are any active members of the quorum that aren't on the email list. Best Practices We try to keep traffic to a minimum so we don't get a "spam" reputation. Generally, we'll send out a single email each Sunday with the announcements for that week. Other weeks, we may have as many as 3-4 emails if there are special activities or moves happening. |
