| How often do you meet? We try to meet every Sunday morning at my apartment. In practice, we usually end up meeting 3x/month because of travel, Stake Conference, etc. These meetings usually last 1 hour. Who runs the meetings? I (EQ President) always run the our presidency meetings, instead of delegating to my counselors. I have found this works best since I have the best view of the big picture and what needs to get accomplished. I also prepare the agenda myself. We've discussed having the secretary do it, but again it just works out easier for me to do it myself. What is discussed during the meeting? We follow a pretty standard format for our meetings. I'll prepare the agenda. Then print out a copy for each of my counselors. Action Items - As you can see, we start out reviewing the action items from the previous week. These are color-coded to make it easier to see who's been assigned to what. The first action item is always to have someone present message from the Church Handbook of Instructions. We will usually read a few paragraphs and discuss as a presidency. Next, we discuss all the action items (read:assignments) from the previous week. One by one, we'll step through and get a report for each action item. Items that have been completed are checked off and removed. Items that are not completed are rolled over to the next week. This way nothing slips through the cracks and everyone is accountable for assignments they accept. Items of Business - Next we review items of business. Some items of business, such as email announcements and visits are always on the agenda. The rest change from one week to the next depending on what we have going on. Focus on Five - Finally, we talk about our "focus on five" families/individuals. We maintain a list of new converts or less-actives that we are working with. We also maintain a list of prospective Elders. Each week we'll discuss these individuals, their needs, and what we can do for them that week. We'll assign action items accordingly. Who takes notes during the meeting? The EQ secretary is responsible for noting down action items discussed during our meeting. For example, if we're discussing home teaching and we decide on a change to a companionship I'll say to my secretary "please put down an action items for me to make this change". Immediately following our meeting, the secretary will send out an email to the EQ Presidency containing a list of action items for that week: This way everyone has a record of what they're responsible for that week. What else do you do in your meetings? Occasionally (2-3x/year) we like to meet with the chairs of our various committees as well as our instructors. We'll usually set aside the last 30 minutes of our presidency meeting for this. We use this time to get a report from them on how their committee is going. We also have a brainstorming session about things that we could do as a quorum in these different areas. We also will periodically have home teaching reviews during our EQ presidency meeting. Our Secretary gathers home teaching stats for the past 12 months for each companionship and plots these on Excel charts. We then go district by district and review trends, trouble spots, etc. Each member of the presidency (who is also a district leader) will speak to their respective districts and report on how things are going. We make action items for changes if necessary. Words of advice? One thing that has worked particularly well for us is using action items to hold each other accountable. Each of us knows that assignments don't slip through the cracks and that we'll have to report back next week. So it creates a strong incentive to get our assignments done. |
