Feb 2009 PTO Minutes

2008-09 BHPS PTO February Meeting

Meeting Minutes

Venue and Time: January 30, 6:30-7:15 PM, Science Class Room, Thomasville Road Campus, BHPS.

Present:          12 parents, teachers, staff and PTO Board members

I.            Welcome

The PTO meeting started at 6:35 PM with about 10 parents, teachers, school officials and Board members.  More parents, teachers, and school staff joined few minutes later as the chili dinner was winding down.  The PTO President welcomed everyone.  The Jan 2009 PTO meeting's minutes were circulated and was approved as presented by those present.

II.          Choir and Tent

Mister Scott, Vice-Principal and Music teacher spoke about the Elementary and Middle School choir.  He also spoke about the new tent under which tonight’s event was held. Several parents were happy about the tent.

III.        Fund raisers

Treasurer Christine spoke about the Red Elephant fund raiser held earlier this month to coincide with the soccer game.  The fund raiser was a success raising about $209 for the PTO.  The next fund raiser is planned for Thursday, Feb 26, 2009 at Skate World.  The school will send flyers and PTO VP Carly will coordinate the event.

IV.         Events

We are also planning to do a Mother’s Day cake decoration.  PTO Secretary Latasha will coordinate this event.  We have decided not to do the Spring Fling since there will be SAT testing in April 2009.  One parent suggested doing “Penny Collection” but Ms Ilona reminded that we do “Pasta for Pennies” in fall term and will continue to do it the coming year as well.

V.           Officers for next year

Since the two year term for the PTO President will end in May 2009 and President’s child will graduate 8th grade, we started the discussion about finding replacement for President’s position.  We also wanted to know whether all the current members of the PTO Board will remain next year.  No final decision has been arrived at the meeting but we will continue the discussion next meeting.

VI.         Upcoming Year

Ms Ilona spoke about the importance of early registration for the upcoming year. She encouraged all the parents to register early so that the school can start planning for the next year.  She told the people that her office is open any suggestions.

VII.       Business

Mr. Andy brought a motion to buy stadium style seating for the tent.  The approximate cost of the seating will be around $7500.  Since the cost of the tent was lower than the original estimate of $23,000 (it cost $18,000) he wanted to know whether he could spend the $7500 from the Capital Budget.  The motion was second and brought the floor was voting.  The motion was approved unanimously with voice vote with no dissenting vote.

VIII.      Adjournment

Promptly at 7:15 PM the meeting was adjourned.

Prepared by PTO President Thayumana Somasundaram on Jan 31, 2009 and posted.

To be approved on March 2009 PTO meeting.
